CREDIT TRANSFER GUIDELINES

*For the use of UniSHAMS students in semester one (1) Diploma / Bachelor's Degree level only

INTRODUCTION

This credit transfer guide is for UniSHAMS students. These guidelines are prepared concerning the Quality Assurance Policy set by the Malaysian Qualification Agency (MQA) together with the Ministry of Higher Education (KPT).

These guidelines aim to provide an explanation for handling all matters related to the course credit transfer and explain the implementation of the credit transfer process at UniSHAMS.

THE POLICY OF CREDIT TRANSFER

The credit transfer can be done in two categories:

  • Vertical - credit transfer from a lower level to a higher level such as a diploma to a bachelor's degree. For example: Post-diploma bachelor's degree students can apply for vertical credit transfer.
  • Horizontal - credit transfer from programmes at the same qualification level such as diploma to diploma and bachelor's degree to bachelor's degree.

For example: Shariah Bachelor's Degree students at other Higher Education Institutions (HEIs) can apply for horizontal credit transfer when admitted to the UniSHAMS Shariah Bachelor's Degree programme for courses in the previous year of study, subject to transfer conditions.

THE CONDITIONS OF CREDIT TRANSFER

A. The General Conditions of credit transfer (Horizontal and Vertical)

  • The credit transfer application must be applied during the admission application in semester one (1) and shall be applied once during the study period.
  • The credit transfer shall be from programmes that have received Accreditation/recognition from an authoritative body.
  • The credit value of the previous programme course is the same as the credit value of the programme course followed by the students.
  • The credit value of the previous programme course is the same as the credit value of the programme course followed by the students.
  • Curriculum equivalence of previous programme course is at least 80% with the followed programme course.
  • The minimum grade of the applied course for credit transfer is at least grade C (2.00 Points) or Maqbul.
  • Applications at the Foundation / Pre-Matriculation / Basic / A-Level level and other equivalent qualifications are not allowed.
  • Students who failed and were dismissed (GB) or dismissed from any IPT are NOT ELIGIBLE to apply for credit transfer.

B. Additional terms for credit transfer

Vertical Credit Transfer Horizontal Credit Transfer
The maximum limit of vertical credit transfer is as follows:
  • The minimum grade of the course is C, and the allowed percentage for credit transfer is up to 30% of the total credit hours of the programme followed.
  • The minimum grade of the course is B, and the allowed percentage for credit transfer is 31-50% of the total credit hours of the programme followed.
The maximum limit of credit hours for horizontal credit transfer is subjected to:
  • For UniSHAMS internal programmes, there is no maximum credit hour limit
  • From outside IPT: the maximum limit is subjected to the minimum requirement of student residency which is two (2) semesters for Bachelor and Diploma programmes

* This maximum limit of vertical credit transfer applies to students for the June 2020 admission session only. For students from previous admission sessions, they are subject to a maximum limit of 30% only.

CREDIT TRANSFER PROCEDURE

The following is the credit transfer procedure for the students’ action and information:

  • The students need to complete the credit transfer form (Change of Programme – to be filled in by the current UniSHAMS students who received approval for program change) accessible through the Student Portal.
  • The students need to provide the following supporting documents for each course applied for the credit transfer:
    • Syllabus of courses applied for credit transfer
    • Copy of official academic transcript/official examination result of each semester for the previous programme of study
    • Copy of previous programme of study’s accreditation (can be printed from the MQR website - programmes in Malaysia (https://www2.mqa.gov.my/mar/) and E-Sisraf for overseas programmes (https://www2.mqa.gov.my/esisraf/)
  • The students need to submit the completed application form in the personal information, course information, and declaration sections, along with supporting documents to the Examination and Graduation Unit (UPG), and Centre for Academic Management (PPA) via email or postage.
  • The UPG PPA will manage the students’ credit transfer applications and seek approval from the Kulliyyah/Centre involved.
  • The students will be contacted by UPG PPA to make payment for the credit transfer.
  • Students who have made the payment must submit their proof of payment to the Revenue Unit and UPG PPA via e-mail at This email address is being protected from spambots.   • The UPG PPA will record courses that have received credit transfer approval.
  • A copy of the credit transfer slip (.pdf) will be emailed to the students. The students are required to keep a copy of this slip as their reference.

CREDIT TRANSFER FEE RATES

The following are the charged fee rates according to the rules subjected in the Undergraduate Academic Regulations:

Credit transfer – Foreign HEIs/Diploma RM100.00 per course applied

PERIOD OF CREDIT TRANSFER APPLICATION

Credit transfer applications must be made within the period of semester one’s (1) study in UniSHAMS. The students are required to apply NO LATER THAN THE 10TH WEEK OF STUDY to ensure a smooth credit transfer process. Failure to do so will result in unprocessed and invalid credit transfer application.
